We are seeking an organized and approachable Front Desk - Intake Specialist to one of our customer locations. The ideal candidate will serve as the first point of contact their clients and visitors, ensuring a welcoming and efficient front desk experience. The Front Desk - Intake Specialist will manage initial client interactions, gather necessary information, and assist with administrative tasks to support the smooth operation of the office.
Responsibilities:
- Greet and assist visitors, clients, and staff with a friendly and professional demeanor.
- Review and verify client information on forms for possible law assistance.
- Maintain accurate records and update the client database with relevant details.
- Answer and direct incoming phone calls, addressing inquiries or redirecting as necessary.
- Schedule appointments and maintain an organized calendar for staff and clients.
- Handle basic administrative duties such as filing, photocopying, and document preparation.
- Collaborate with team members to ensure client needs are met promptly and effectively.
- Uphold confidentiality and adhere to company policies and procedures.
- Provide support in managing office supplies and inventory if necessary.
Qualifications:
- Proven experience in a customer service or administrative role is preferred.
- Strong communication and interpersonal skills with a focus on customer satisfaction.
- Proficiency in using computer systems and office software, including MS Office Suite.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Detail-oriented with excellent organizational abilities.
- High school diploma or equivalent; additional education or training in office administration is a plus.
